1. Who we are

Whitehill & Bordon Veterans ("we", "us", "our") is a veterans (over-35s) football team playing in the Farnham & District League, based at The Daly Ground, Budds Lane, Bordon, GU35 0JB.

We are committed to protecting your personal data and respecting your privacy. This policy explains what information we collect, why we collect it, how we use and protect it, and what your rights are. It applies to players, prospective players, club officials, volunteers and anyone who contacts us.


We are the "data controller" for the personal information we hold about you, which means we are responsible for deciding how it is held and used.


2. The information we collect

Depending on your involvement with us, we may collect and process the following:


  • Identity and contact details: your name, date of birth, gender, home address, email address and telephone number.
  • Football registration data: your FA Number (FAN), player photograph, playing position, shirt number and registration status.
  • Emergency contact details: the name, relationship and telephone number of a person you nominate to be contacted in an emergency.
  • Proof of identity or age: where required, a copy of a document (such as a passport or driving licence) to verify your eligibility to play veterans football.
  • Payment information: records of registration fees and any kit or merchandise payments. Card payments are processed securely by our payment provider; we do not store your full card details.
  • Communications: records of correspondence when you contact us by email, phone or messaging.


3. How we use your information, and our legal basis

We use your personal data only where the law allows. Our lawful bases are:


  • Contract / taking steps to register you: to process your registration with us, The Football Association and the Farnham & District League, allocate your shirt number, and manage your membership of the team.
  • Legitimate interests: to run the team effectively, including arranging fixtures and training, communicating team and matchday information, managing kit, and contacting you about club matters. You can object to this at any time (see Section 8).
  • Consent: where you have given it, for example to contact you as a prospective player, or for any use of your image in club promotion or on social media. You can withdraw consent at any time.
  • Legal obligation / vital interests: to comply with FA and league rules and safeguarding requirements, and to use your emergency contact details to protect your or another person's safety in an emergency.


4. Sharing your information

We share your data only where necessary:


  • The Football Association, via the FA Player Registration System, to register you as a player.
  • The Farnham & District League and its Management Committee, to enable your registration and participation and to comply with competition rules.
  • Whitehill & Bordon FC, our parent club, for affiliation, insurance and administration.
  • Our payment provider (Stripe), to process fees securely.
  • Our form and email providers, who host our registration form and communications on our behalf.


We do not sell your personal data to anyone, and we do not share it for marketing by third parties.


5. How long we keep your information

We keep your personal data only for as long as necessary. Registration and contact data is generally retained for the current season and up to [RETENTION PERIOD — recommend "three seasons"] afterwards, for administrative, insurance and league-record purposes, after which it is securely deleted or anonymised. Financial records may be kept longer where required by law (typically six years for accounting purposes). Any identity documents used to verify age are deleted once verification is complete.


6. How we protect your information

We take appropriate technical and organisational measures to keep your data secure and to prevent unauthorised access, loss or misuse. Access to your information is limited to club officials who need it to carry out their roles. Our online systems are provided by reputable processors who maintain their own security standards.


7. Storage and transfers

Your data is stored within the UK or the European Economic Area (EEA) wherever possible. Where any of our service providers process data outside the UK/EEA, we take steps to ensure it is protected by appropriate safeguards recognised under UK data protection law.


8. Your rights

Under UK data protection law you have the right to:


  • access the personal data we hold about you;
  • request correction of inaccurate or incomplete data;
  • request erasure of your data in certain circumstances;
  • object to or request restriction of our processing;
  • request portability of the data you have provided to us;
  • withdraw consent at any time where we rely on it; and
  • lodge a complaint with the Information Commissioner's Office (see Section 10).

9. Children's data

Whitehill & Bordon Veterans is an over-35s team and we do not knowingly collect the personal data of anyone under 18. If you believe we have inadvertently done so, please contact us and we will delete it.


10. Complaints

If you have concerns about how we handle your data, please contact us first and we will do our best to put things right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk, or by calling 0303 123 1113.


11. Changes to this policy

We may update this policy from time to time. The current version will always be available on our website, with the "last updated" date shown at the top.
